Summary: | The study focused on the digitization and preservation of academic records at Kabale University, which was established as a community institution in 2001 at Kikungiri Hill, Kabale Municipality. Initially a private institution, Kabale University (KAB) was founded by stakeholders in the Kigezi sub-region. The study aimed to achieve four objectives: identifying the types of academic records generated or kept at Kabale University, examining the records management systems in place, identifying threats to academic records, and proposing strategies for their digitization and preservation.
A descriptive analysis approach was utilized, with data presented in tables to clarify the findings. The sample population consisted of 10 respondents, including registry staff and information administrators, selected through purposive and simple random sampling. Data collection methods included questionnaires and interviews with individuals chosen for their relevance and importance to the study’s focus.
The findings revealed that various types of academic records are generated or maintained at Kabale University, including admission applications, final academic transcripts, academic performance grade reports, research theses and dissertations, attendance reports, records of disciplinary and academic offenses, legal or constituting documents, and graduation lists.
The study also identified several threats to these records, such as inadequate data security measures, insufficient storage space, cybersecurity threats, poor maintenance of digitization equipment, technological obsolescence, and potential disasters. Key strategies for the digitization and preservation of academic records at Kabale University include disaster preparedness and recovery planning, security and assessment controls, data integrity and validation, and regular monitoring and evaluation of academic records. |
